Overview
An UHNW family in Houston, TX is hiring a full-time chief of staff to manage all household operations and staff. The chief of staff will provide comprehensive support through organizing and implementing proper systems and structures, creating sustainability of the family office, and serving as the central point of contact for principals and household staff. This person should love to create structure, is an excellent communicator, and wants to work with a local entrepreneur and family. The successful candidate will also be a highly adept and proactive organizer who is detail-oriented and displays a highly adaptable approach in their work. The family will relocate a candidate for the role if it is the right fit.
Responsibilities
Responsbilities related to building and managing the daily operations of the family office:
- Identify and implement the proper systems and structures to allow for efficient family office operations
- Leverage technology for efficient management of the office. Ensure staff are proficient in relevant software and tools that enhance productivity and decision-making
- Build and maintain strong relationships with family members, understanding individual needs and goals
- Recruit individuals in the top tier of their respective fields ensuring a high level of expertise and experience within the family office
- Assess candidates not just for their technical skills but also for their ability to fit into the family office culture
- Create sustainability and continuity of family office systems and processes
- Ensure “quality control” of information and communication to reduce reactivity
- Facilitate regular team meetings
- Facilitate technology training for staff to enhance efficiency and productivity
- Integrate smart home technology systems for property management
- Leverage project management tools to coordinate family activities and office tasks
- Coordinate travel arrangements, events, and lifestyle management
- Conduct regular technology audits to identify areas for improvement and implement updates or new systems as required
- Implementing a succession plan for critical roles ensures continuity and reduces the impact of any transitions within the office
- Ensure strategic alignment and coordination of priorities and goals
- Serve as central point of contact between principals and stakeholders
- Maintain a collaborative and highly cohesive team aligned toward the same goals
- Partner with staff regularly to ensure timely and accurate completion of responsibilities
- Ensure work is completed with excellence and professionalism
- Liaise with family attorneys and financial advisors to ensure alignment between family and external partners
- Consistent alignment with Empower CoS; sharing information with family as needed
- Deliver results on behalf of the principals
- Attend meetings, events, outings with, or on behalf of, the principals; ensure timely follow-up of all action items
- Creating a positive work environment where staff feel valued and part of the team contributes to higher job satisfaction and loyalty
- Provide relevant information to principals prior to events as well as post meetings/events attended on their behalf
- Execute projects by translating into actionable steps and managing completion
- Track performance, research new solutions, and escalate progress or issues when necessary
- Other duties as assigned
