Overview
A dedicated and organized live-in estate administrator is sought for a property in Dutchess County, NY. This role is ideal for someone with strong administrative and organizational skills who can manage household operations efficiently and adapt to various tasks. The estate administrator will oversee administrative duties, maintain filing systems and databases, manage inventory, supervise housekeeping staff, and serve as a backup for housekeeping tasks as needed. The client is willing to hire a domestic couple for this role and pair with KP632.
Responsibilities
- Coordinate vendor and contractor schedules as required.
- Maintain an organized filing system for both electronic documents and physical binders.
- Keep track of household supplies, groceries, and other items, ensuring essential supplies are always available.
- Develop and implement an inventory system for household needs, coordinating reordering and restocking as necessary.
- Supervise housekeeping staff, ensuring that all cleaning and maintenance tasks meet the family’s standards.
- Prepare and update housekeeping schedules, address any issues that arise, and ensure smooth daily operations.
- Step in to assist with housekeeping duties.
- Perform cleaning and tidying tasks as needed to maintain the household’s standards.
- Support with occasional errands, organizing spaces, and other ad-hoc tasks as requested by the family.
- Oversee household bidding and estimates
Qualifications
- Prior experience in a similar role within a private household or hospitality setting is preferred.
- Highly organized, with the ability to coordinate multiple schedules effectively.
- Excellent written and verbal communication skills; able to communicate professionally and clearly with staff and vendors.
- Willingness to adapt to changing household needs, with a positive attitude and a strong work ethic.
- Must be flexible and willing to change gears when Principals are on the property
Requirements
- US passport, Green Card or EAC
- Applicants should be available to start ASAP
- Must be comfortable with pets and available to pet sit weeks at a time.
- Strong database management skills
- Ability to perform light housekeeping tasks as needed.
Salary and Benefits
