Position Overview:
We are seeking a highly skilled and proactive Personal Assistant to support a high-net-worth principal. In this role, you will manage and enhance the Principal’s personal life, ensuring every detail is handled with discretion and efficiency. You will oversee the Principal’s personal and social calendar, coordinate travel arrangements, and maintain fluid communication with both personal and external staff, as well as traveling guests. Your ability to anticipate needs will be crucial in maintaining a well-organized and smoothly running daily schedule, particularly when curating exclusive nightlife experiences, securing reservations at the finest restaurants and venues, and managing the Principal’s after-hours entertainment and social engagements. The ideal candidate will have experience in managing high-profile, luxury lifestyles and a strong understanding of high-end nightlife.
Key Responsibilities:
Schedule & Calendar Management:
- Manage and oversee the Principal’s calendar, ensuring all appointments, meetings, and events are efficiently organized and well-coordinated.
- Prioritize, schedule, and reschedule appointments based on importance and changes in Principal’s schedule and preferences.
- Coordinate with the Executive Assistant to ensure seamless organization of personal and business calendars.
Travel & Logistics Coordination:
- Plan, organize, and arrange all aspects of travel, including transportation, hotel accommodations, and itineraries, ensuring all arrangements align with the Principal’s preferences.
- Communicate with internal and external teams regarding travel details to ensure a seamless experience.
- Coordinate with the Principal’s chauffeur, personal chef, flight attendant, and housekeeping staff to ensure timely and smooth logistics for domestic and international travel.
- Act as a liaison between the Principal and various external staff, ensuring effective communication and timely organization of personal and service requests from principal and guests while traveling and being in residence.
Anticipating the Principal’s Needs:
- Demonstrate a high level of attention to detail and the ability to anticipate the needs of the Principal, from personal requests to researching upcoming music events and provide pricing and logistics
- Proactively address challenges and concerns before they arise, ensuring the Principal’s and guests comfort and satisfaction.
- Provide support for any special requests related to the Principal’s personal life, ensuring everything is handled seamlessly and professionally.
Key Skills & Qualifications:
- Proven experience as a Personal Assistant with a focus on high-level, detail-oriented personal support.
- Strong organizational, time-management, and multitasking abilities.
- Ability to work independently while maintaining open communication with the Principal and other team members.
- Excellent written and verbal communication skills, with the ability to liaise effectively with internal and external stakeholders.
- Discretion and trustworthiness, with the ability to handle confidential information.
- Ability to work under pressure and adapt to changing priorities.
PLEASE NOTE:
The role offers a flexible schedule with rotating weekends and night shifts to ensure a balanced work-life environment. Both PAs will have two days off each week on different days for continuous coverage.
Responsibilities will be shared, with both PAs staying fully informed on all projects to ensure smooth transitions and minimal disruption when stepping in for one another. This is an excellent opportunity for those seeking a dynamic and flexible role.
