Overview
A full-time personal assistant is sought to provide comprehensive, detail-oriented support to a high net-worth individual, ensuring seamless coordination of personal and professional responsibilities. The ideal candidate is a proactive problem-solver with a high EQ and IQ, committed to a multi-year tenure, and eager to ensure that the Principal’s day-to-day life runs effortlessly.
Responsibilities
Calendar & Schedule Management
- Manage the Principal’s daily, weekly, and monthly calendars, including scheduling meetings, appointments, and reminders.
- Ensure the Principal is prepared for all commitments, with timely briefings and necessary materials.
- View the calendars through a 360 lens so unforeseen or unnecessary conflicts/bottle necks do not occur.
Travel Coordination
- Book and manage all travel logistics, including flights, accommodations, ground transportation, and itineraries.
- Anticipate potential disruptions and create contingency plans to ensure smooth travel experiences.
- Act as 24/7 ground support while the Principal is traveling, no matter the time zone.
Personal Support
- Handle a range of personal tasks such as shopping, managing household errands, and overseeing all returns.
- Organize and file important documents, contracts, and records for easy access.
Meeting & Communication Support
- Record accurate and detailed meeting minutes and provide actionable summaries as needed.
- Serve as a liaison between the Principal and other staff or external contacts, ensuring clear and effective communication.
Butler-Inspired Precision
- Ensure the Principal’s day-to-day life runs without disruption, maintaining high standards of organization and preparedness.
- Anticipate needs and proactively address issues to create a seamless experience.
- Support housekeeping in inventory and wardrobe management.
Qualifications
- Bachelor’s degree required.
- At least Five years of experience in a personal or executive assistant role, ideally within a high net-worth household or family office.
- Exceptional organizational and time management skills.
- High emotional intelligence (EQ) and intellectual capability (IQ).
- Strong written and verbal communication skills.
- Experience managing pet care and supervising staff preferred.
- Ability to handle sensitive matters with utmost discretion and professionalism.
- A proactive and anticipatory approach to problem-solving and task management.
- Tech Wizard - able to navigate all and any tech
