Overview
A full-time chief of staff is sought for a household/family office, starting ASAP. The role will be based out of New York City and the Hamptons and the candidate will serve as a trusted thought partner to a high net worth individual, ensuring the seamless management of personal, professional, and operational responsibilities. This role encompasses oversight of a wide range of activities, including scheduling, investments, philanthropic initiatives, family relationship management, project management, and overseeing business ventures.
Responsibilities
Executive Support
- Provide comprehensive support to the Principal, managing both personal and professional matters such as scheduling, family commitments, and business initiatives
- Coordinate the Principal’s complex schedule, including meetings, appointments, and personal commitments in partnership with the Personal Assistant.
- Act as the primary point of contact for other family offices, legal advisers, financial managers, and stakeholders, ensuring effective representation of the Principal’s interests.
Project & Operations Management
- Lead and oversee projects in areas such as real estate, investments, philanthropy, and personal initiatives, ensuring timely execution aligned with the Principal’s objectives.
- Oversee day-to-day operations, including managing staff, finances, and third-party service providers.
- Provide research, analysis, and insights to inform the Principal’s decisions on personal investments, business opportunities, and philanthropic efforts.
- Collaborate with financial advisers and accountants to manage budgeting, financial planning, and reporting.
Human Resources Management
- Manage hiring processes, from sourcing to on-boarding, ensuring seamless integration of new staff.
- Set performance goals, conduct evaluations, and oversee employee development to maintain high standards.
- Serve as the primary contact for staff, fostering a positive work environment and addressing any concerns.
- Oversee payroll and benefits, coordinating with external providers as needed.
- Develop and implement HR policies, ensuring compliance with applicable labor laws.
- Organize professional development opportunities to enhance staff performance.
- Forecast staffing needs to ensure the family office is optimally staffed.
Relationship Management
- Build and maintain strong relationships with key external stakeholders, such as legal, financial, and philanthropic advisors, ensuring the Principal’s interests are effectively represented.
- Represent the office of the Principal in a manner commensurate with the requirements and expectations of the Principal and their position.
Confidentiality
- Handle sensitive personal and financial matters with the utmost discretion, confidentiality, and professionalism.
Qualifications
- Bachelor’s degree in Business Administration, Finance, Human Resources, or a related field; advanced degree preferred.
- Minimum Seven years of experience in a similar Chief of Staff or executive support role, ideally within a household, family office, or high-net-worth individual (HNWI)environment.
- Strong leadership and project management skills, with a proven ability to oversee diverse initiatives.
- Exceptional organizational and multitasking abilities, with keen attention to detail.
- Proficient in financial management, including budgeting and reporting.
- Excellent interpersonal and communication skills, with the ability to liaise effectively with diverse stakeholders.
- High level of integrity and ability to handle confidential matters with discretion.
- HR management experience, including recruitment, employee relations, and policy development.
- A proactive and anticipatory approach to problem-solving and task management.
- Tech Wizard - able to navigate all and any tech.
- The ideal candidate is highly organized, discreet, and capable of managing both strategic and day-to-day tasks with professionalism and efficiency.
