Overview
A global strategic advisory firm in Manhattan is seeking an office assistant to perform a variety of administrative and clerical tasks to support the smooth operations of the office. The office assistant/executive assistant team reports to the Head of Operations (North America) overseen by the Regional Office Head.
Standard working hours will be 8:30 am-5:30 pm, Monday through Friday, with flexibility, if needed. This is a hybrid position, generally consisting of 3 days in the office and two days working remotely. This company values work-life balance to ensure employees have the time and space to focus on personal and family obligations. However, from time to time, there could be a need to work out of hours, address urgent matters, or virtually attend an early morning company-wide meeting.
Responsibilities
Phone and Visitor Management:
- Answer incoming calls, providing information or redirecting calls to appropriate personnel
- Coordinating and welcoming internal and external visitors to the office, ensuring they are set up to work effectively from the office
Office Support:
- Perform general office duties such as organizing office supplies, restocking stationary room, and ordering new materials as needed
- Handle incoming and outgoing mail, including sorting, distributing, and preparing shipments. Along with being the point person for our internal subscriptions
- Oversee the maintenance and repair of office equipment, coordinating with vendors and the office building as needed
- Ensure the office environment is kept organized, and conducive to productivity
Support for Team Members:
- Assist with special projects and tasks as requested for the wider support team.
- Offer backup support to other administrative staff during absences or peak periods

Requirements
- US passport, Green Card or EAC
- The role does not typically require travel. However, there are opportunities to travel to other offices for training and development, and to other – sometimes far-flung – destinations for off-sites and events.

Salary and Benefits
- The base compensation per annum is contingent on background and experience
- Additionally, a discretionary performance bonus for business support staff is considered, and at the end of the fiscal year
